Data Retention Policy
Effective June 27, 2026
Purpose
Books retains financial data for bookkeeping, tax, audit, reporting, and operational purposes. This policy describes how records are kept and when temporary data may be removed.
Records We Retain
- Ledger entries, account records, reports, and reconciliation records.
- Invoices, bills, checks, payments, and related bookkeeping documents.
- Bank and card transactions imported from statements and activity exports.
- Payment processor records imported from Stripe, Square, and similar providers.
- Consent, access, and operational records needed to administer Books.
Retention Period
Core bookkeeping records should be retained as long as needed for accounting, tax, audit, legal, and business operations. Temporary processing files may be deleted when they are no longer needed, provided the required bookkeeping record remains available.
Deletion Requests
Data deletion requests are reviewed against accounting, tax, audit, legal, and operational retention needs. Data that must be retained for books and records may be kept for the required period.
Review
This policy should be reviewed at least annually or when the product, providers, or legal requirements materially change.
